Program Consultation
We will consult with your event directors or management committees and advise on program strategy, direction and progress. We will prepare a detailed critical time path plan to ensure complete coordination of all aspects of the program and maintain communication with you and your members.
Program Development
We will prepare a preliminary program outline and assist in planning the details of your program including:
material management and support services
Initiate search for speaker, entertainment, contests, catering, etc.
scheduling of workshop and training sessions
coordinate production of the official program booklet or advertising journal
administrate recreational activities and ticket sales for theatre, picnics, team building, etc.
Program Support & Administration
We carry up to $1,000,000 general liability insurance on all prepaid full-project programs that we manage. We oversee all communication aspects of your program with office administration and support, i.e. letters, faxes, e-mails, for correspondence with your attendees, invited guests, entertainers, VIPs, vendors, etc.
Site Selection / Venue Search
We will prepare and suggest a list of suitable venues for your program or event, coordinate site inspections and visits for consideration, assist you with cost analysis, negotiations and local attractions.
Exhibition
We will coordinate and arrange a plenary, conference command center and hospitality suite, break out rooms and a separate exhibit room for vendor displays and exhibitor involvement in your program, prepare selling documents, manage agreements between program exhibition halls, conference centers and hotel facilities, including drayage, shipping and destination management details.
Public Relations
We can arrange and design public visibility and awareness programs to heighten the perception and knowledge of your meeting or event. We will suggest themes, celebrity spokespersons, activities and other appropriate tie-ins for exposing your event with mass or specific appeal.
Media Relations
We write and distribute your press releases, media advisories, arrange press conferences, interviews, create media kits and schedule other press activities to bring visibility and awareness to the media about your program or event.
Publicity, Marketing and Promotion
We will develop a marketing strategy and materials for distribution prior to and for use at your event. We will also advise on appropriate vehicles for advertising and promotion to garner the greatest public awareness of your function should you desire it to be open to the public.
Advertising
We can manage and oversee your advertising campaign and recommend a buying strategy. We plan and administer the complete concept: artwork, layout and design process, create slogans, themes, logos, suggest placement and actively follow-up for hard copy.
Sponsorship Proposals
We can design and create your sponsorship proposal and recommend a sales strategy. We plan and administer the proposal process, actively pursue sponsors and oversee agreement elements.
Financial Administration
Our services are bonded and insured for up to $1,000,000 on all prepaid programs to assist with the financial administration of your project to:
manage ticket sales, registration payments, etc.
accounts payable to vendors, suppliers and meeting service providers
accounts receivable for advertising, sponsorships, exhibits, etc.
On-Line/Registration Services
We will completely manage the registration process of your programs, by hosting a website or managing your site to allow attendees to utilize on-line forms for single or multiple programs, additional activities, side tours and more. We utilize web-based technology and a secure on-line server for convenient and boundless access.

On-Site Registration, Management and Staffing
We can provide on-site registration, management and staffing for your attendees, welcome desks and distribution of pick-up materials, nametags, table seating charts, maps, workshop notices and other materials for your event. Our trained staff will be suitably attired in both clothing and attitude to provide the best customer service to your attendees.
Database Management
We can input your attendee data and maintain it in a secure format of your choosing for MAC or PC. Our efficiency in data capture will provide you with a vast resource for storage and recall of your participant information through custom printouts of attendee lists detailing: registration information, demographics, and more for your post-event data recall.
Travel
We will recommend, coordinate and prepare honorariums for your guest and speakers and a list of travel providers and assist with the details of your program. Including negotiations for transporting your group: airline, railcar, ferry, ground transportation (tour bus, group van, car rentals).
Accommodations
We maintain an excellent relationship with many of the hotels throughout the United State and are able to assist you with housing arrangements, and booking and blocking room reservations and negotiations.
Printing
We will coordinate all printing requirements for your program and marketing materials, i.e., save-the-date cards, invitations, response cards, promo cards, flyers, souvenir journals, name badges, literature pieces, on-site signage, floor plans, maps, etc. Our relationship with several print service companies enables us to assist you with our leverage in negotiations.
Post-Event Follow-Up Analysis
We can furnish you with a post-event of conference follow-up and analysis to determine the overall impact and success of your program’s objectives utilizing documentation details and summaries.
